Customer Service/Patient Coordinator (Virtual)

 

A rapidly growing health and medical tourism company is seeking experienced customer service coordinator with telephone sales experience, with excellent interpersonal and communication skills. You would be required to work 40 hours a week flexible over 7 days.

 

We are looking for a self-starter that is very motivated and aggressive, self-disciplined and results driven. The ideal candidate will have a proven record of accomplishment in meeting sales goals, along with exceptional telephone sales and closing skills. Works with minimal supervision; be efficient and proactive in completing tasks; with an extremely flexible attitude, to work in a fast-paced, deadline-oriented environment

 

You will be contacting warm prospects and providers via telephone and email; your goal will be to interview the prospects, analyze their needs to connect them with the appropriate providers; the end goal being to set an appointment with a provider for the patient to receive treatment.

 

Candidate must have home office in a quiet environment, with an up to date computer, high-speed internet, and good quality noise-cancelling headset with microphone, along with Microsoft Excel, Word, and Outlook. Your operating system and office programs should have all of the latest updates.

 

Main responsibilities:


Follow-up with warm prospects that have submitted a request for information

Conduct a needs analysis to understand the patient requirements and matching them with appropriate provider

Follow-up with providers regarding the request for information submitted by the prospect

Responsible for closing sales, both individual and corporate, via telephone and email

Developing and solidifying relationships with providers and patients

Maintain regular contact with patients and providers via telephone and email


 

Key Requirements:


Professional level experience in a sales/service environment

Proven track record in meeting performance objectives

Very Strong oral and written English communication skills are required

Able to compose professional level business emails following proper email etiquette

Knowledge using Microsoft Outlook with multiple email accounts

Knowledge using Microsoft Office Word and Excel

Be able to multi-task and use multiple PC programs at one time

Effective listener who is able to quickly grasp the patients’ needs and expectations

Ability to quickly establish rapport with clients in a way that allows for a comfortable consultation

Works well under pressure and does not waiver in working as a team

Availability to work a flexible schedule

Shows/practices a commitment to ethical conduct

The Workforce Coordinator I provides a full range of internal support for Leader’s, Team Lead’s, Customer Quality, Customer Care, Empowered Team (CST) and CCO. The position's primary focus will include effective call handling and skill assignments, to support the SBU’s contracted average speed of answer and service level goals. Another key focus will be using the Real Time Adherence (RTA) tool along with the central calendar to identify staff adherence, and make good staffing decisions on a real time basis. Provide feedback to Leadership team on process improvements and root cause for the above areas. Coordinate and communicate with other departments to maintain a smooth efficient flow of services throughout the Mark Travel Corporation.

Responsibilities:

Log into the CCO phone queue and provide superior service for all incoming phone calls
Respond to emails with accurate information and in a timely manner
Handle system errors and reporting to the CQ team; responsible for ongoing follow up until resolution
Adjust skill assignments to maintain ASA and SL goals, balance the ASA across the sites
Utilize RTA tool to gain an understanding of staffing and resources, to effectively manage labor resources by half hour interval
Timely and accurately update all off-the-phone exceptions
Prepare and distribute a daily and evening recap of the ASA’s, off phone activity, absenteeism and shrinkage, system issues and any other pertinent information regarding why we did or did not meet goal
Participate in other related duties, including but not limited to processing time off accurately and within the predefined set goals, scheduling central calendar activities, updating spreadsheets, notifying staff and handle all follow up and necessary rescheduling/training, handling week of scheduling, including internet, weekend analysis and checking opening/closing coverage. adjust breaks and lunches, reporting – generate, analysis and distribution of Time Utilization, Adherence, Hours of Operation, periodic audits of SL reports from the CMS switch, attendance tracking
Collaborate with Team Leader’s and Leadership team to resolve issues when ASA and SL Update all affiliated spreadsheets on a daily, weekly, monthly basis
Educate internal customers on CCO processes, to gain a better understanding of the how and why
